AI Can Systemise Your Work!
Every so often, I have one of those admin-type tasks I just don’t want to do myself.
Things like copying and pasting data. Updating details. Keeping track of long lists.
It feels like AI should be able to do it for me.
And well, some apps are starting to do just that for us.
Today I show you Notion AI.
Inside Notion
Notion started as a wiki. Then it grew into something much bigger. It’s a workspace for pages, subpages, databases, tables and workflows.
Now it has AI built in.
I can use the AI to talk about the content of my pages or to get it to help me with building more pages, databases and workflows.
In the video today, I show you how I started with an imaginary example of moving house.
I asked Notion to help me make a list of everyone I’d need to notify about an address change.
Within seconds, it designed a database with columns for organisation, category, priority, status, website and notes.
It also pre-populated it for me with all the relevant organisations that I need to inform of my address change.
I can adjust it easily. Remove a few columns. Tag my top priorities.
And that's it, I can start tracking my tasks on a Kanban board.
From moving house to name change
Next, I used the same process for something I actually needed. A name change.
I brainstormed with Notion about where I’d need to update my details and how it is best done in Australia.
Shortly after, I had a full system. It showed me what to do and where to start.
It listed the URLs of pages for name change, where I need to go in person, and what documents I need to bring to each location.
It even advised which ones depend on others, so I get things done in the right order.
Organising my blog posts
Then came the project that started all this. Listing my blog posts.
If I did it myself, it would require a lot of copying and pasting.
Instead, I gave Notion the link to my website. I asked it to create a database including every post.
It pulled in titles. Added categories, topics and even main points from each post. Then went back to fetch the full text of each one.
It even matched YouTube links automatically once I gave it the playlist.
What would have taken hours of copying and pasting took about an hour of guided AI work instead.
Once everything was there, I asked Notion to analyse the content. It showed me themes and patterns across my posts. It helped me see what to cover next.
So what did we see here
AI designed and developed my database for me
It also populated my database with general knowledge information (like who I need to inform of address change) and specific information from the web (like my blog posts)
It added AI summaries: like how to inform of address change (summarised from web pages) or key points in my blog posts).
Finally, it organised everything in a workflow for me, so I can start working through my tasks.
This is where AI is going now. From capability to workflow.
What this means for your work
I’m not sharing this to suggest everyone rush to use Notion. There’s no need to start adding sensitive data or changing how your team works overnight.
If you’re curious and like to experiment, have a play. Try it for a personal project. Or for something simple at work.
But if you’re leading a larger team, it’s enough to simply understand what’s possible.
These same capabilities are coming everywhere.
Whether you use ChatGPT, Microsoft Copilot or Google Gemini, they’re all building toward the same goal.
AI that helps you organise, analyse and act, not just chat.
