How to Teach Your Team AI, 15 Minutes at a Time


Do you want real AI magic in your business?

There are three things you need to do.

  1. Train your team

  2. redesign your workflows

  3. keep safe

Today, let’s focus on the first. How you keep upskilling your team.

Because big training days are great. Everyone gets excited. But the technology evolves and there’s just so much that people can pick up in a day. So how do we keep it up?

You can't run a training day every other day. So you need a different shape. A rhythm.

The 15-minute rhythm

After the initial training, once everyone has the basics and knows how to keep safe, book 15 minutes a week on AI. Not more.

Here's the formula for those 15 minutes:

  1. Bring in one way of using AI.

  2. Demonstrate how you use it.

  3. Brainstorm where it fits in their work.

  4. Let them try it.

That's it. Once a week.

And the mix: three weeks of skills, one week of safety. Teach a skill, teach a skill, teach a skill, then "here's what can go wrong, and here's how to stay safe."

Always teach a pattern

In the skills weeks, cover one thing at a time. And always show it as a pattern, not a clever trick.

For example. I uploaded two insurance policies as PDFs and asked AI to pull out the key details so I could compare them. That's a pattern. Documents with a lot of information, and I only need the few things that matter. Trust deeds. Leases. Contracts. Where does that fit in your work?

Then everyone runs the same scenario on their own work.

Next week, something else. Here's a prompt that reviews a job I've finished, checks the key things are there, and flags issues and inconsistencies. I did it for GST returns. Where does that fit for you?

Timesheets. Meeting prep. Drafting content. Working inside a spreadsheet. One a week, every week.

The catch

Sounds easy, right?

Because it is. Much easier than producing a big training day every quarter.

There's only one hard part. Coming up with the idea, every single week. That mental energy that keeps running: what am I going to cover this week?

That's the part that wears you down. Not the 15 minutes. The choosing.

Here's the hack

Keep a doc open and drop ideas in as they come.

Every time you use AI in a way that worked, every time you spot a pattern, drop it in.

Include the links, the example file, the prompt you used. So when the day comes, you're not starting cold. You're picking from a list you've already built.
