From Nested Nightmares to an AI Prompt


I love how AI gives us superpowers!

Things that were hard to do become easy to do.

Let me show you one.

From Complex Logic to Simple Prompts

My work calendar is always beautifully colour-coded.

That’s because I’ve set up an automation that categorises my meetings based on rules I created over time. It checks things like keywords in the event name, who else is invited, and then applies a category.

I built this automation in Microsoft Power Automate (but you can do it in Zapier and many other automation tools).

And until recently it looked like a mess of nested conditions. It worked, but I was so afraid of breaking it that I stopped touching it altogether.

It had become legacy software, stuck and rigid.

Now with AI: Just Three Steps

Now, I’ve rewritten the same process in just three steps.

  1. Trigger when a new event is created, like before

  2. Run a prompt

  3. Set a category

That’s it.

And the prompt? It simply says:

Categorise new calendar events using the following logic...

And then I explain the logic, and it returns the category name.

Do you know how I wrote that prompt?

I took a screenshot of my old process, fed it to ChatGPT, explained what I wanted and we iterated and wrote the prompt together.

What This Really Means

I’m showing you this because yes, colour-coding your calendar brings joy, but also because I want you to rethink what’s possible.
